PlayHQ registration system

Glen Iris Scorpions registration will continue to be on PlayHQ. Please read on for information about registering via PlayHQ and general registration information.

Registration Fees

Basketball Victoria charges a yearly $29 license fee for each junior player and $43 for players aged 18 years and over and is valid for 365 days from the date last paid. If the annual fee paid last year expires during this Winter season, you will be charged the Basketball Victoria annual fee with this season’s registration.

Commencing 1st January 2024, Basketball Australia will also charge an annual game development levy of $5.50 per player ($5 fee + GST) which will be applied automatically when a player is registered for the next competition season in PlayHQ. This new annual levy will be charged when a player next registers to a competition season (for existing players this may or may not coincide with the Basketball Victoria licence depending on anniversary dates).

The license fee and game development levy are paid directly to Basketball Victoria and Basketball Australia from PlayHQ.

Unfortunately, we have had to raise our Club fees due to increases in team entry, game day fees and other operating costs. Glen Iris Scorpions fees for the Winter 2024 season are $305 per player.

**If you have been a team manager, coach or committee member this current season look out for a discount code in your emails to be applied at time of registration of a returning player.

PlayHQ login

Parents registering their child to play will initially need to set up an account with email and password. PlayHQ will continue to recognise and remember all children attached to that parent login in subsequent seasons. Please ensure your child’s date of birth is correct in PlayHQ to ensure they are placed in a team in the correct age group.

Parents registering their child to play will initially need to set up an account with email and password. PlayHQ will continue to recognise and remember all children attached to that parent login in subsequent seasons. In order to pay the Basketball Victoria fee only once a year – this login email should stay consistent throughout seasons.

Coaching

The club will provide training and support to new and experienced coaches.

Waverley Basketball Association require all teams to nominate a game day coach/representative.  Our club also requires a coach/team representative to run a week day training session with their team at the allocated time for Under 14 and younger age groups.  The game day coach and training roles can be shared. All coaches must hold a valid ‘Working with Children Check’ (WWC).

Team Manager Role

A Team Manager is usually a parent from the team who coordinates communication for their team for the season. They will be supported by the Scorpions Team Manager Coordinator, so no prior experience is needed!  We ask that Team Managers also hold a valid WWC.

Social Media

The Glen Iris Scorpions website, Facebook and Instagram pages are a quick and easy way for the club to disseminate information to our families, engage with our community and share our teams in action at training, games & events.

These club social media channels are publicly accessible by all internet users. The club may share team information, photographs and videos, but no individual information is included.

Find our social channel links here.

New to Glen Iris Scorpions?

If you have previously played basketball for a different domestic club that participates in the Waverley competition, you will be prompted to complete club transfer details in PlayHQ. Once completed, PlayHQ will notify your outgoing club for approval. Once approved by your old club, the approval will automatically go to WBA for approval, then come to Scorpions for approval.

Teams and Age groups

Scorpions Basketball enters teams into competitions that are run by the Waverley Basketball Association.

These are in 2 main categories:

1)  Boys Domestic competition which all boys OR mixed teams can enter, and

2)  Girls Domestic competition which is strictly girls only.

Age Group Allocation for Summer Season cut off is 30th April 2024. Please make sure you register in correct age group.

  • UNDER 8 – eligible players must not turn 8 before 31 October  2024.
  • UNDER 10 – eligible players must not turn 10 before 31 October 2024.
  • UNDER 12 – eligible players must not turn 12 before 31 October 2024.
  • UNDER 14 – eligible players must not turn 14 before 31 October 2024.
  • UNDER 16 – eligible players must not turn 16 before 31 October 2024.
  • UNDER 18 – eligible players must not turn 18 before 31 October 2024.
  • UNDER 20 – eligible players must not turn 20 before 31 October 2024.

Please note: Players will be placed in teams according to their age group. Exemptions for playing in an age group other than the one your player is eligible for must be submitted by the club in writing to Waverley Basketball Association for their consideration. Requests for playing in different age groups can be made and will be considered depending on overall numbers and team allocation. NO guarantee is given that your child can play in a different age group. Please send an email to the Club Registrar (glenirisdistrict.registrar@gmail.com) if you are requesting to play in a different age group to that which you would automatically be placed based on date of birth.

Nominating team mates

The allocation of teams each season is a complex and time consuming process and each new season brings many factors that must be considered.

Whilst we attempt to satisfy reciprocated friend requests, it is not always possible to do so. There are three fields in the registration form to nominate friends and we recommend you use all three fields.

The club asks all parents and players that they be understanding and respectful of all our volunteers who do their very best to satisfy friend requests, balance total registration numbers and team numbers, balance skill abilities and player experience as well as accommodate requests in order to form well balanced teams.

For our full team selection and grading policy please read here

For Under 8 and Under 10 groups – Where possible, and numbers permitting, players will be placed with at least one nominated (& reciprocated) friend or existing team mate. Experience and skill level will also be considered in order to create optimally balanced teams. If you only complete one or two fields there is no guarantee you will be placed with that nominated friend.

For Under 12 – Under 14 groups – All players in these groups must attend the applicable grading sessions for their age group, which will be held on Monday 4th March for girls and Thursday 7th & 14th March for boys. Players who do not attend the grading sessions will be placed in a team at the Age Group Coordinator’s discretion. Whilst you can still nominate team mates you would like to play with, the greater emphasis will be on forming teams of even skill level.

For Under 16 groups & over – There is no grading for these groups, however, a greater emphasis will be placed on player skill level and creating evenly skilled teams. You may still nominate team mates you wish to play with and this will be considered by the Age Group Coordinator when selecting teams.

Parent/Guardian & Emergency contact details

PlayHQ will ask for a second parent/guardian details – it is NOT mandatory to fill this in but is useful for team sheets.

PlayHQ will also ask for emergency contact details. This can be the registering parent or another individual.

Refunds

Please note that in compliance with the Terms and Conditions of Registration, individual player refunds will not be issued once the player/team has been officially registered with the Waverley Basketball Association. Any special requests for refunds must be submitted to the Glen Iris Basketball Club Committee for consideration.

Code of Conduct

The Glen Iris District Basketball Club uses a CODE OF CONDUCT (developed by Basketball Victoria) which provides a guide to the expectations of those involved in the club. This guide applies to all players, coaches, administrators and spectators.

To register a player all parents/guardians and players must be aware of the Code of Conduct and agree to comply with the guidelines.
